The problem is not just high demand. It is also how property managers work. They receive dozens of applications and prioritize those that are complete and submitted immediately. If you still need to send documents later, you move to the back of the queue.

A complete application dossier contains everything the property manager needs to evaluate you. Here is the essential set that is almost always required in Switzerland.

Essential Documents:

1. ID Copy

Passport or ID card, clearly readable, both sides if needed.

1. Debt Enforcement Register Extract

Shows if there are open debt enforcement proceedings against you. Should be current, ideally not older than 3 months.

1. Proof of Income

Payslips from the last 3 months or employment contract with salary information. For self employed: tax documents.

If the agency has one, fill it out completely. No gaps.

If you have a previous landlord who can vouch for you.

1. Residence Permit

If you do not have a Swiss passport, a copy of your permit.

When preparing individual files, name them like this:

Merging:

Use a free tool like Smallpdf, ILovePDF or Adobe Acrobat to combine all PDFs into one. Name the final product something like Application_LastName_FirstName.pdf.

Important for the email:

Never attach the Word file directly. Agencies expect a PDF that looks the same on every device and cannot be accidentally edited. Always convert the Word template to PDF first before sending.

Keep the PDF under 5 MB so it can be sent by email without issues. Compress scans if needed.

A cover note is not always required, but it can make a difference. It shows you put in effort and gives the agency an impression of you as a person.

• Who you are (name, profession, current situation)
• Why you want to move in (short and honest)
• When you are available

What not to include:

• Your entire life story
• Dramatic explanations of why you urgently need an apartment
• Exaggerations or clichés

Some mistakes get you rejected instantly. Here are the most common red flags from the agency perspective.

Incomplete Documents

If you need to send documents later, you are automatically slower than others. The agency has no time to wait.

Poor Quality

Crooked phone photos, unreadable scans, cut off documents. This looks unprofessional and raises doubts.

Outdated Debt Register Extract

An extract from 6 months ago is worthless. It must be current, ideally not older than 3 months.

False Information

If you exaggerate your income or employer and it comes out later, that is a breach of trust. It can even lead to termination.

Too Much Text in the Cover Note

Long explanations of why you deserve the apartment seem desperate. Keep it short and factual.

No Contact Details

If the agency cannot reach you, they move on to someone else.

Sending Too Late

If you wait days after the viewing, you have often lost. Same day is the standard.

Aarau

The rental market in Aarau is tight, especially for central locations near the train station. Viewings are often scheduled at short notice, and decisions are made quickly. Those with a ready dossier have a clear advantage.

Tip: Many agencies in Aarau use online portals. Register in advance and upload your dossier so you are ready for new listings immediately.

Wohlen

Wohlen is a bit more relaxed than Aarau, but there is still competition for good properties. The municipality is popular with commuters, which keeps demand steady.

Tip: In smaller municipalities like Wohlen, direct contact with the agency can help. Call and ask if you can introduce yourself in person.

St. Gallen

St. Gallen has many fixed term tenancies due to the university. At the start of the semester, competition is high, then the market relaxes somewhat. Furnished rooms are particularly in demand.

Tip: For shared apartments and furnished accommodations, the personal impression often counts more than the dossier. Still, you should have the basics ready.
